Job Overview

Reporting to the Manager of Social Services, the Administrative Agent is responsible for the administrative and general functions of the Social Services Department and the Transportation and Accommodations Department.

Responsibilities

  • Assist the Department Manager, the Social Workers, the Psychologists and the Nutritionists in planning their meetings, committees and other clinical/clerical activities.
  • Schedule the clinical appointments for the psychologists and the nutritionists.
  • Is responsible for the implementation of internal processes for the smooth functioning of the social workers.
  • As required, work closely with the Transportation and Lodging Coordinator in managing driver schedules, transportation and lodging reservations, keeping statistics, liaising with transportation and lodging companies, and interacting with the Shrine Temples as well as the incoming families.
  • Cover for the Transportation and Lodging Coordinator when necessary.

Qualifications

- Professional diploma in secretarial studies and at least 5 years of relevant experience
- Excellent skills in French and English, spoken and written
- Excellent knowledge of Office Computer tools
- Autonomous
- Well organized with excellent multitasking abilities
- Strong customer services skills
- Successful skills test
